Property tasks: how to keep a renovation to-do list

Updated 26 October 2026 · based on: Doma app and web version screens, the in-app guide (“Tasks: add, complete, delete”, “Notifications and property history”, “Working offline and syncing”), as of 26 October 2026

Write down renovation errands - what to buy, whom to call, when to expect the measurer - in the property's “Tasks”. Open “Home” → the “Tasks” block → “See all” and tap “+ Add”: write what needs to be done, choose a due date and tap “Save”. All property members see the task, the app shows overdue ones separately in notifications, and in the web version tasks appear in a calendar.

Tasks and stage items - what's the difference

  • Stage items are the renovation route: what is done at each stage and in what order. They're checked off, photos are attached to them, and they're reviewed and accepted.
  • Tasks are your own list of errands around the renovation: buy, order, call, meet, pay. A task has a due date but no photos and no review.

A good rule: if something is part of the work at a stage, it's already in the route - check off the item. If it's an errand along the way, create a task. For example, “Tile the floor” is an item of the “Tiling” stage, while “Pick up the grout from the shop on Friday” is a task.

How to add a task

  1. “Home” → the “Tasks” block → “See all”.
  2. Tap “+ Add”.
  3. In the “New task” window, write what needs to be done. Write it so that it's clear a week later: “Call the kitchen measurer”, not “kitchen”.
  4. Choose the due date: “Today”, “Tomorrow”, “📅 Other date” - a calendar opens - or “No due date”.
  5. Tap “Save”.

If there are no tasks yet, the screen suggests: “Add the first one - for example, ‘Book a measurer’”.

How to check off, delete and change

  • Complete. Tap the check box to the left of the task - it becomes done and is crossed out. Tap again if you were too quick: the task goes back to open.
  • Delete. Long-press the task → “Delete task?” → “Delete”.
  • Change the text or due date. Delete the task and add it again with the new text and date.

The top of the screen shows how much is done: “N of M done”.

Due dates and overdue tasks

A task whose due date has passed and that hasn't been checked off becomes overdue: its date is highlighted. The app shows such tasks in notifications: the bell on “Home” → “Important now” - “N tasks overdue” or “Was due ... - task not checked off”. Today's tasks are there too.

Set the due date not on the day something should happen but on the day you need to remember it. For example, a kitchen takes several weeks to make: a task like “Check when the kitchen will be delivered” is worth setting in advance, not on the delivery day. When to order what is in When to order the kitchen, doors, tiles and fixtures.

Who sees tasks

Tasks are shared by the property: all members see them - the owner, the designer, the contractor or foreman. Everyone who can make changes on the property can add, check off and delete tasks. Earlier members with the “Inspector” and “Viewer” roles can only view.

Who added, completed, reopened or deleted a task is shown in “Property history”: the bell on “Home” → “Property history”, the “Tasks and documents” filter.

Don't put in tasks what the contractor shouldn't see, such as amounts: tasks aren't closed the way the budget is. Money belongs on the “Budget” tab - more in Who can see the budget.

Tasks on a computer

In the web version, the property menu has a “Task calendar”: it marks the days that have tasks. Click a day - a window opens next to it with that day's tasks and the line “N of M done”; close it with the Esc key or by clicking outside. It's handy for planning the week: deliveries, measurements, contractor visits. More about the web version is in Doma web version.

Offline and after the renovation

  • Offline. Tasks, like checks and expenses, are saved on the phone and go to the server once there's a connection. More in Working offline.
  • Master Kistya knows your tasks along with the survey, stages and comments. You can ask: “What do I have this week?”.
  • After the renovation tasks stay. Once the property is moved to lived in, the stages become history, while tasks, documents and receipts stay at hand. Tasks are handy for life in the flat too: submit meter readings, service the air conditioner, check the bathroom sealant.

Tasks to create as the renovation goes on

At the start:

  • order tiles and built-in plumbing - due before the rough work starts;
  • book the air conditioner installation;
  • ask the management company about renovation rules and waste removal;
  • before each stage - meet the contractor and show them the scope of work.

In the middle:

  • order the front door while rough finishing is under way;
  • agree on a date for the kitchen check measurements - once the walls are plastered;
  • call the glass shower screen measurer after the tiles are grouted.

At the end:

  • call the templater for a stone worktop after the kitchen's base units are installed;
  • submit meter readings and transfer the utility accounts to your name - these are items of the “Move-in” stage.

Checklist

  • Errands are written in tasks; work is checked off in stages.
  • Tasks for deliveries and measurements have a due date.
  • Overdue tasks are checked in the bell once a day.
  • Tasks contain no amounts or anything the contractor shouldn't see.
