Photo records in the app: how to add, find and rename a photo

Updated 14 October 2026 · based on: Doma app screens and the in-app guide, as of 14 October 2026

To attach a photo to an item, open the “Stages” tab, choose a stage and, in the item's card, in the “Photo records” block, tap “Camera” (to take a photo) or “From gallery” (for existing photos). All the property's photos are collected on the “Documents” tab in the “Photo records” folder.

What to shoot and why

A photo of an item proves the work was done and remembers what's hidden behind the finish. Hidden work is photographed by the contractor while it's still exposed, and the owner or designer reviews the photos: stages have “Record the result” and “Photograph…” items for this, before the screed, plaster and boarding. Shoot the whole wall with a tape measure from the corner or the floor in the shot: with a photo like that, the spot can be found years later. Which work is worth photographing before the walls are closed is covered in the article Photos of hidden work.

How to attach a photo to an item

  1. The “Stages” tab → open a stage.
  2. In the item's card, find the “Photo records” block.
  3. Tap “Camera” to open the camera, or “From gallery” to choose an existing photo. In the web version, there's an “Upload” button instead of “From gallery”.

The same shot can't be attached to several items: each piece of work is confirmed by its own photo.

How to add a photo straight to a folder

“Documents” → “Photo records” → the add button. Choose “Take a photo” or “Choose from gallery” (you can pick several). A photo added here goes into the property's photo records, but it's attached to a work item from the stage. You can sort photos into folders by pressing and holding.

How to rename and find a photo

Every photo has a name: by default, the item number and name plus the date, for example “2.3 · Screed removal - 4 Oct 2026”. To rename it:

  1. “Documents” → “Photo records” → press and hold the photo → “Rename”. Or, in the stage, press and hold the item's photo.
  2. Enter a name. All members of the property see the new name.
  3. To go back to the default name, erase yours.

To find a photo, use the search field in “Photo records” or “Find a file” on the “Documents” tab: by name, item, stage or date.

When a photo can't be deleted

You delete your own photo by pressing and holding it → “Delete”, and it disappears for the other members of the property too. If an item has been sent for review or accepted, its photos can't be deleted: they show a lock icon and the caption “Work is under review or accepted - photos are kept as proof”.

What to do if

  • “A new photo is needed”. This shot is already attached to another item. Take a separate photo for each piece of work.
  • The photo didn't upload. Without a connection, the photo is saved on the phone and goes to the server once you're back online. A “no file” label instead of the photo means the file isn't on this device: check your connection and open the item again.
  • You've run out of space. Each plan has a storage limit for photos and files. You can free up space by removing unnecessary photos and files; the limits are described in the article on plans.
  • You can't delete a photo. The item is under review or accepted, see above. You can't delete someone else's photo: only your own.

You can also keep track of materials, brands and product codes with photos: property passport and documents.
