Budget, expenses and receipts: how to set a budget and log an expense in the app

Updated 13 October 2026 · based on: Doma app screens and the in-app guide, as of 13 October 2026

Open the “Budget” tab and tap “Set the property budget”: after that you can see how much has been spent and how much is left. You add an expense with the “Add expense” button and a till receipt with the “Scan receipt” button: point the camera at the QR code at the bottom of the receipt, and the amount and date fill in automatically.

Who sees the budget

The owner and the designer see the budget, expenses, receipts and the total budget. They're closed to contractors and foremen: they have no “Budget” tab, and the property's expenses don't reach their phones. A member's role is shown in “Profile” → “Property members”.

How to set a budget

  1. Open the “Budget” tab.
  2. In the “Total budget” card, tap “Set the property budget”.
  3. Enter the budget amount. “Spent” and “Left” appear in the card.

How to add an expense

  1. The “Budget” tab → “Add expense”.
  2. Enter the amount and choose a budget category.
  3. Choose the date: “Today”, “Yesterday” or “📅 Other date” (you can log a purchase retroactively, but not later than today). A comment is optional.
  4. Tap “Save”. The expense appears in the “My expenses” list and on the chart.

How to scan a receipt

  1. The “Budget” tab → “Scan receipt”.
  2. Point the camera at the QR code at the bottom of the receipt. The amount and date fill in automatically, and the receipt photo is saved in the budget.
  3. If the QR code can't be read, use “Photo from gallery” or choose “Enter manually”.

A refund receipt isn't added to the budget, and the app recognizes a duplicate receipt. Receipts for the budget are recognized without limits on any plan.

How to edit or delete an expense

Use the “My expenses” list on the “Budget” tab. Tapping an expense with a receipt icon opens the receipt photo. Pressing and holding an expense gives you “Edit” or “Delete”.

Budget categories

Expenses are sorted into categories. “Expense categories” → “+ Add category”: a name and an icon. Pressing and holding a category gives you “Edit” (for any category) or “Delete” (only for your own). You can delete your own category when it has no expenses.

Exporting to Excel

At the top of the “Budget” tab there's an “Excel” button: the app builds a file with the total budget, how much has been spent, the budget categories and spending by month, and offers to share it.

What to do if

  • There's no “Budget” tab. You're a contractor or foreman: the budget is closed to this role. If you're the owner or the designer, check your role in “Property members”.
  • A receipt isn't recognized. Use “Photo from gallery” or “Enter manually”.
  • A category can't be deleted: “This category has expenses”. Delete the expenses in that category first.
  • Expenses don't show up for another member. The app works offline: entries are saved on the phone and go to the server once there's a connection. Both you and the other member need a connection and the app open.
  • A receipt opens without a photo. “The receipt photo hasn't reached storage yet” means the photo is still uploading: check your connection. “Receipt saved without a photo” means this expense has no photo.

The team setup and who can see the budget are described in the article Members and roles on a property.
