Reviewing and accepting work: how a contractor sends a stage and the designer and owner accept it

Updated 14 October 2026 · based on: Doma app screens and the in-app guide, as of 14 October 2026

A contractor or foreman marks the work and taps “Send for review” on the stage screen. The designer reviews it, or the owner if there's no designer on the property. Accepted items count as done and can no longer be unmarked.

Who sends to whom

  • A contractor or foreman sends work to the designer if there's a designer on the property, otherwise to the owner.
  • The designer accepts the work or sends it to the owner for approval.
  • The owner approves the stage or writes remarks. The owner can also accept the contractor's work directly, even if there's a designer on the property.
  • If the property has neither an owner nor a designer (the contractor created it), there's nobody to review: there's no review card, and the contractor's marks count as done right away.

Steps for a contractor or foreman

  1. Open the stage on the “Stages” tab and mark the items you've done. “Awaiting review” appears next to them.
  2. Attach photos to the items: here's how.
  3. In the “Work review” card at the top of the stage, tap “Send for review” and confirm with “Send”. The designer or the owner gets a notification.

Once sent, the photos of these items can't be deleted: they remain as proof of the work.

Steps for the designer

The stage card says “The contractor sent work for review”. Check the items and photos and choose:

  • “Accept”: the stage is accepted, the marked items count as done, and the “Accept the stage” item checks itself off;
  • “Send to owner”: the stage goes to the client for approval (the button is there if the owner is on the property);
  • “I have remarks”: write what needs fixing; the team gets a notification.

If the contractor marked items but didn't send the stage, the card will say “Contractor's work awaits review” with an “Accept work” button.

Steps for the owner

When the work is ready for review, look through the stage's items and photos and tap “Approve” or “I have remarks”. “Approve” also checks off the “Accept the stage” item. In the “The designer reviews the contractor's work” card, you can also accept the marked items yourself with the “Accept work” button.

Hidden work

Pipes and cables in the walls, air conditioning lines, underfloor heating, waterproofing and the ceiling frame will be covered later, so they're accepted before the next layer: before plaster, screed, tiles or boarding. The contractor photographs them while they're still exposed (the whole wall, with a tape measure in the shot) and sends the stage for review; the owner or designer looks through the photos and accepts the work. Once it's covered, it can only be checked by opening it up. What exactly to photograph is in the article Photos of hidden work.

Remarks

“I have remarks” opens the “Stage remarks” window: write what needs fixing, for example “re-lay the tiles by the bath”. The team gets a notification and sees the comment on the stage. The contractor's card changes to “The designer has remarks” or “The client has remarks”, and the “Send again” button returns the work for review once it's fixed.

Notifications

Review notifications go to the members of the property. The designer can turn off notifications to the owner about accepted items and completed stages: “Profile” → “Settings” → “Notifications” → “To this property's owner”.

What to do if

  • You don't see the review card. It isn't there if the property has nobody to review, or if you're not the contractor, designer or owner on the property. After the property is moved to lived in, and in the archive, there's nothing to approve.
  • A mark stays on “Awaiting review”. The designer or the owner has to accept it: remind them to open the stage.
  • You accepted something by mistake. Accepted work can't be unmarked: it stays in the property's history together with the photos. That's exactly why the app asks you to confirm before “Accept”.
  • A notification didn't arrive. Check “Profile” → “Settings” → “Notifications”, and make sure the app is allowed to send notifications.
